Job Description

Reporting to Hong Kong local business manager, this role is to provide daily routine support for businesses in a lot of areas which include the commercial activity section and partnership with internal and external partners to improve organizational efficiency.

  1. Finance: include but not limited to below:
    • Bi- weekly payment support for HK and SG
    • Settle payments to government / hospital etc. and get expenses claimed through finance team from China
    • Collect and input all payment details into HSBCnet (for HK/SG/Malaysia/Thailand etc.) before every 12th and 22nd.
    • Prepare the payment summary list and mail out the paper vouchers to Beijing before every 12th and 22nd.
    • Download the payment slips from HSBCnet and send them to payment Applicants/Finance.
    • Internal bank accounts transfer for payments as instructed by Finance.
    • HK staff expenses claims correspondence
    • Transfer the receipt/statement from HSBC, and documents from Census and Statistics/IRD etc. to Finance for follow-up actions.
    • Archive and maintain finance vouchers in HK office.
    • Transfer the finance vouchers from HK to Zhuhai office if necessary (due to the limited space of HK office).
    • Assist on sample vouchers check for HK/SG statutory audit purpose.
  2. Business intelligence: include but not limited to below
    • Provide different sales data analysis for sales and management team on daily, weekly and monthly basis
    • Support Annual Business Planning data and information preparation each year
    • Provide support to GM, sales and marketing manager for market data research and analysis when needed
    • Work with regional business support team for data analysis when needed
  3. HR: include but not limited to below
    • Maintain payroll and benefit process on time
    • Manage on boarding and termination process
    • Keep leave balance record
    • Provide insurance correspondence
    • Organize team building activities and annual meeting logistics
    • Hiring correspondence with HR from the region
  4. General affairs
    • Renewal of Company certificates: Business License and Worker's Compensation.
    • Safekeeping of Company stamps: 2 in total, 1 in Chinese and the other in English.
    • Renewal of contracts for Admin support related (office telephone, cell phone, internet, and rent for office printer/copier/fax machine etc.)

Requirements

  • Bachelor’s degree in business related studies
  • 5 years of experiences in finance /marketing / admin / office management with good understanding and experience of the other relevant responsibilities
  • Excellent analytical, interpersonal, and problem solving skill
  • Highly self-motivated, result oriented, able to work independently, and with good team spirit
  • Ability to handle multiple tasks at the same time under tight schedule
  • Experience/exposure to general affairs and logistics management
  • Good command of English and Mandarin
  • Proficient in computer skills, especially Excel and power point presentations
